In this position...

  • Coordinate daily schedule and appointment calendar, meeting notices and agendas, and prepare material for day(s) ahead for Global Flexible Vehicle Architecture (FVA) Director, including supporting Director’s direct reports as needed.

  • Resolve scheduling conflicts in a timely manner and issue new meeting notices, often-involving global personnel, locations, and use of WebEx technologies.

  • Coordinate RTO efforts with Team (FVA, Ford Land and IT).

What you'll do...

  • Track Chief Attestation events for Sign-off and ensure master schedule is maintained.

  • Responsible for general office management and organization. Maintain office filing system and record retention, manage incoming and outgoing mail and manage e-mail correspondence including monitoring for priority e-mails, responding to scheduling changes and urgent requests or other tasks while Director is in meetings or away from office. Receive and screen telephone calls and voice mail and respond to requests for information.

  • Create and modify Word and Excel documents, distribute documents to organization, print, photocopy, scan and fax documents as required.

  • Complete pre-trip travel requests, schedule travel and process Travel and Expense Reports.

  • Maintain organization chart, distribution lists, vacation schedule, travel schedule, emergency contact list, phone list and other information for FVA department.

  • Coordinate various tasks to increase overall efficiency and throughput, including resolving IT issues or upgrades, coordinating reward & recognition events, assisting with department meeting logistics, etc.

  • Strong verbal, written and interpersonal communication skills.

  • Professional behavior and positive outlook to assist department team and office visitors.

  • Proficient in use of Outlook (Email, Calendar and Notes), Internet/Web sites,SharePoint and Microsoft Office (Word, PowerPoint and Excel).

  • Ability to keep secret and confidential information secure.

  • Well organized with the ability to work with minimal supervision, ability to problem solve.

  • Ability to plan, prioritize and support multiple assignments and projects simultaneously.

  • Ability to work both on-site and off-site to support FVA Operations.

  • Attention to detail and high level of accuracy.

Even better, you may have...

  • 10 years of Automotive Experience as Coordinator or Administrative Assistant

  • Bachelor's Degree preferred.

  • Experience working with Directors and Managers
