Vitalief Grants Coordinator (Hybrid) in Newark, New Jersey

Salary Range: Market competitive - based on experience level. 

Work Location: Hybrid work model. You will be required 4 days on site in Newark, New Jersey.  

Responsibilities: 

  • Assisting in the preparation of proposals and grant applications, development of budgets and editing of documents and process proposals.  

  • Serves as principal liaison with Principal Investigators, Clinicians, Program and Administrative personnel to coordinate grant application processes. 

  • Ensures accuracy and timeliness of all grant-related materials and applications to meet proposal and closeout timelines. 

  • Prepares tracking reports for required deliverables and manages timesheets for personnel when necessary. 

  • Prepare Federal, National Institutes of Health (NIH), and other grant submissions – coordinating the administrative aspects of the proposal (i.e., electronic grant submission, budgets, bio-sketches of personnel, etc.). 

  • Identify and work with PI to prevent projected over expenditures and resolve deficit situations. 

  • Implements monthly reconciliation procedure for all sponsored projects including account balances, projections and meet with stakeholders regularly. 

  • Pursues philanthropic funding, as requested by leadership. 

  • Reviews information entered into medical billing system to verify accuracy and maximize income for clinical services provided. 

  • Regularly reviews federal register codes and regulations and participates in webinars for regulatory compliance pertaining to contracts and grants. 

Required Skills: 

  • 3+ years of experience in of demonstrated related experience with emphasis on grant writing and program development  

  • Masters Degree in a related field  

  • Experience preparing Federal, NIH, and other research grant submissions from a regulations and requirements perspective.  

  • Certificate in Research Administration (CRA) preferred. 

  • Demonstrated experience building positive relationships and working effectively with PI’s, all levels within the client organization, as well as external grantor agencies and subcontracting institutions. 

  • Critical thinking & decision-making skills – ability to evaluate all aspects of a situation and to independently make appropriate and timely decisions. 

  • Demonstrated proficiency in Microsoft Office, Word, Excel, PowerPoint applications.  

  • Detail-oriented, excellent communication skills, ability to multi-task, prioritize to meet deadlines, problem-solve, and balance a sense of humor with necessity to interact professionally at all levels. 

  • Highly goal oriented, self-motivated, and ability to work independently as well as with guidance when appropriate.  

PHYSICAL DEMANDS: Prolonged periods of sitting at a desk and working on a computer.  Standing, walking, visual perception, talking and hearing.  Lifting up to 20lbs.   

IMPORTANT NOTE: Vitalief partners with clients such as major medical centers and academic institutions that requires all on-site resources such as prospective Vitalief consultants to provide proof that they are fully vaccinated for Covid-19; inoculated annually for Influenza; and successfully pass a Mantoux Tuberculin Skin Test (TST) for Mycobacterium Tuberculosis.
