The Marketing Financial Operations Manager position involves planning, allocating, tracking, and optimizing financial resources for various marketing activities to ensure the highest ROI. The position holds ultimate responsibility for the overall marketing spend, including budget forecasting, annual planning, allocation within departments and teams, proactive review and optimization of budgets, ongoing reporting, and leadership communication.

The Marketing Financial Operations Manager serves as the central figure within the Marketing team and is responsible for overall budget management and alignment with strategic business goals. Additionally, the position provides recommendations for adjustments to optimize performance and achieve objectives within budget constraints.

Role & Responsibility

Budget Oversight and Management

  • Play a critical role in overseeing and managing marketing and in-house agency budget, ensuring efficient allocation of resources and supporting the achievement of marketing goals

  • Design effective budget models for the marketing team and in-house agency

  • Help design and implement effective budgeting policies and procedures

  • Understand the holistic marketing strategy, (LRP, AOP, and day-to-day) and recommend spending improvements and efficiencies

  • Inform and support budget forecasting, tracking, projections, etc. for marketing and related functions’ LRP, AOP, and day-to-day operations

  • Gather, understand, and effectively navigate budget requirements and reports. Pull budget data from multiple sources to compile data and provide a comprehensive and easy to understand report for both business and marketing leadership

  • Familiar with and can navigate budget requirements and reports to tell the full budget story for appropriate planning and budget maintenance

  • Ensure managers remain within budget, leading proactive conversations about budget spend, trends, and recommendations

  • Work collaboratively with all respective groups to understand their part in budget spend/utilization for comprehensive reporting. Works to understand each team’s function, their strategic plans and provides guidance and recommendations for budget planning and resourcing

  • Help inform processes or measures to capture and track budget spend for accuracy and provide timely tracking and reporting

    Financial Management and Compliance

  • Manage and coordinate month-end and year-end financial close processes, ensuring timely and accurate preparation of financial statements

  • Work with finance teams to understand and adhere to accounting policies, procedures, and compliance with organizational practices

  • Manage relationships with external auditors, tax advisors and regulatory authorities, ensuring compliance with statutory reporting requirements

Vendor Management and Contract Administration

  • Assess existing marketing vendors and make recommendations to improve work product, drive efficiency, and/or reduce expense. Conduct RFPs for new marketing vendors as needed

  • Support onboarding of current and new marketing vendors

  • Manage proposal preparation, contract negotiation, and contract administration, and serve as the main customer point of contact on all marketing contract related matters

  • Work closely with marketing leadership by advising contractual rights/obligations (to include intellectual property considerations) and how they align with business objectives

  • Ensure compliance with company policies, acquisition regulations, and customer requirements/ specifications for various types of contracts

  • Ensures that contracts databases are updated and maintained in an accurate and timely manner, including the maintenance and retention of documentation covering the complete contractual record and evidence or review and approvals obtained following the Company’s prescribed approval matrix

  • Collaborate and participate in all activities related to the planning, scheduling, and development of customer proposals including budget estimation, and overall budget utilization

  • Responsible for recommending budget changes, submitting transfers, approving transactions, and requesting payments

  • Oversee the purchase order creation and management for all PO needs across the entire marketing function

Job Requirement

  • Education Required: Bachelor's Degree in Finance, Marketing, Business Administration, Management Information Systems, or related field

  • 7-10 years related experience required

  • Experience as a budget manager or managing a large budget for a marketing org or creative agency

  • In-depth understanding of budget management – forecasting, tracking, projections, etc.

  • Must be detail-oriented and have a strong working knowledge of marketing and agency operations and spending

  • Ability to identify solutions & see opportunities when faced with challenges

  • Expert in Excel, specifically advanced formulas, pivot tables, and charts

  • Ability to learn and manage new accounting programs and systems

  • Proactive thinker who can use data to plan and offer solutions for gaps or challenges specific to informing, managing, or reporting on the budget

  • Outstanding interpersonal skills to navigate complex discussions and translate data and reports into plain language, trends, and actionable insights

  • Experience in a fast-paced, client services environment; a high sense of urgency, and a positive attitude

  • Must be able to manage multiple projects and deadlines, be proactive, detail-oriented, and possess outstanding follow-through skills

  • Satisfied in operating behind the scenes and comfortable presenting/communicating to all levels of the org

  • Demonstrated exceptional vendor management competency

  • Strong analytical background demonstrating an ability to understand business problems, analyze trends, draw conclusions, and make actionable recommendations

  • Exceptional attention to detail

  • Travel required up to 10%
